Automated Returns of Serialized Products & How Serial Numbers are Recycled

Efficient inventory management is crucial for the success of any business. One essential aspect of this process is the proper handling of returned products, especially when they are serialized. Serial numbers help track individual items, making it easier to identify, manage, and control stock.

DCL offers automatic returns for products with serial numbers. This allows a streamlined process for returns, with fewer errors and quicker return to inventory.

What Happens When Serialized Product are Returned?

When a product with a serial number gets returned here's how DCL processes it:

  1. Once it arrives at a DCL facility, our team gathers all relevant information about the product: serial number, reason for return, and any additional details.

  2. The returned product serial number is then validated against the original order to ensure accuracy.

    1. If there are any discrepancies the unit is flagged for further investigation and the process stops.

    2. If there are no issues, the data is recorded into eFactory as either an RMA or Unplanned Return Module and the serial number will be recycled if unused.

How Does DCL Return Serialized Products to Sellable Inventory?

Our team understands how important it is to get returned merchandise back into sellable inventory quickly. Our system can automate returns with serial numbers for a more efficient and speedy process.

Here's how it works:

  • Every 30 days DCL's system will automatically recycle all serial numbers associated with products that have been returned to DCL, regardless of the product receipt condition.

  • Once goods are able to be put back into stock, they can be used for a new order, shipped back to the client or the manufacturer based upon their SOP (Standard Operating Procedure).

  • Once the serial number has been automatically recycled, the system will add an X to the serial number shipped on the original order number. This allows system traceability for every serialized product.

Can Customize the Serialized Product Returns Process?

How to Opt-Out of All Automated Returns

If you don't want your serialized products to be enrolled in automated returns, you can do this by working with your Integration Manager at the time of onboarding or work with your Account Manager if your account is live.

If you request to opt-out of recycling serial numbers, DCL will need to review with Operations for approval.

How to Opt-Out Some Products from Automated Returns

If you want to customize the returns process for serialized products you can do that. This may be the case if you don't want all your serialized products to be auto recycled, only some of them.

DCL can program automated returns by:

  • Account Number

  • Part Number

  • Return Condition code

  • Disposition Code

Where can I locate my returned to stock serial numbers in eFactory?

If you are looking to validate returned products by serial number in eFactory, you have two options:

  • eFactory > Items > Returns

    • Search by serial number

  • ReturnTrak > RMA > All

    • Search by serial number
